Privacy Policy

Effective September 30, 2026

TIRADON-AKTYV LLC ("Tiradon-Aktyv", "we") provides accounting, audit, tax, legal, consulting, research and property management services. Clients entrust us with financial and legal information that is often confidential. This policy explains how we treat personal data within that work, in accordance with the Law of Ukraine "On Personal Data Protection" and, where applicable, the GDPR.

1. Controller

2. Two roles we play

When we decide why and how data is used, for example in our own client records, we are a controller. When we keep books or run payroll for a client, we process the client's employee and counterparty data on the client's instructions and act as a processor. In that role, we follow a written data processing agreement and use the data only to deliver the service.

3. Data we collect

  • Client data: names, positions, contacts, tax numbers, company documents.
  • Accounting and payroll data: salaries, tax and social contributions, bank details and employment records of client employees.
  • Legal matter data: case facts, documents, and data of other parties, witnesses and counterparties.
  • Property management data: tenant identity and contacts, leases, payment history, maintenance requests.
  • Research participant data: answers and basic demographics, collected with consent.

4. Research participants

Participation in our surveys and focus groups is voluntary. We separate contact details from answers when fieldwork ends and report only aggregated results to clients. Recordings of focus groups are made only with prior consent and deleted after anonymised transcripts are prepared.

5. Purposes and grounds

  • Delivering services under contract with our clients.
  • Meeting tax, accounting and anti-money-laundering obligations.
  • Establishing and defending legal claims (legitimate interest).
  • Research participation and newsletters (consent).

6. Confidentiality

Client information is confidential. Staff sign confidentiality undertakings, and access to client files is limited to the team working on the engagement. Lawyers' work is additionally protected by the rules of professional secrecy applicable to legal practice.

7. Recipients

Tax and social insurance authorities through electronic reporting, courts and state registrars, banks, and IT providers who host our systems under confidentiality agreements. We do not sell personal data.

8. Retention

  • Accounting and payroll records: periods set by the Tax Code and archival legislation.
  • Legal matter files: 5 years after closing.
  • Leases and tenant records: lease term plus 3 years.
  • Research contact data: until the end of fieldwork.
  • Consultation requests: 12 months.

9. Your rights

You may access, correct and request deletion of your data (subject to legal and professional retention), restrict or object to processing, obtain a portable copy and withdraw consent. If we process your data as a processor for your employer, we will forward your request to them. We reply within 30 days. You may complain to the Ukrainian Parliament Commissioner for Human Rights or an EU supervisory authority.
